“Will we lose our history?”
No. Contacts, companies, deals, activity, notes, attachments and custom fields all come across. Where the old system holds something HubSpot has no home for, we tell you before the migration, not after, and you decide whether it’s rebuilt, archived or dropped.
“How long are we down?”
You’re not. We run the new instance alongside the old one and cut over on an agreed date. Reps keep working throughout. The cutover itself is usually a weekend.
“What if it goes wrong?”
Your old system stays live and untouched until you sign off. We take a full export before anything moves, and there’s a defined rollback point. Nothing is deleted at our end at all. Decommissioning is your call, on your timeline.

Data audit
Before quoting. How many records, how much duplication, how many custom fields are genuinely used versus historically created and abandoned. This is where migrations get expensive if it’s skipped, because scope moves once you’re inside the data.

Map the model
Old objects and fields to new ones. What comes across as-is, what gets consolidated, what gets left. Agreed in writing: a mapping document you sign off, not a spreadsheet we keep to ourselves.

Clean
Deduplication, formatting, fixing the fields where three people used three conventions. This is the step that separates a migration from a house move. Doing it during migration costs a fraction of doing it afterwards.

Build and test migrate
Configure HubSpot to the agreed model, then migrate a representative subset and check it against the source. You review it before the full run.

Cut over
Full migration on the agreed date, with reconciliation counts. Reporting rebuilt and verified against known numbers.

Land it
Training by role, documentation, and a check-in at 30 and 60 days.

Honestly
If you want a lift-and-shift with no cleaning, that is a cheaper job than the one we do and we would be the wrong choice. If your sales process isn’t defined anywhere, migrating won’t fix that. You would be moving an undefined process into a better-looking system. And if you are still deciding between HubSpot and something else, we are happy to talk that through without the migration attached. We would rather tell you HubSpot is wrong for you now than migrate you onto it and have you leave in a year.
Looking ahead
The reason to clean on the way across rather than later is that later keeps getting more expensive. Every AI tool you connect to the CRM next year (lead scoring, call summaries, drafted follow-ups) reads whatever is in there. Feed those tools duplicated records and inconsistent stage definitions and you don’t get bad output you can spot; you get confident output you can’t check. Migration is the cheapest moment you will ever have to fix it.
